Set up Mosce AI

How to connect your own AI provider account (Anthropic, OpenAI or Gemini), test the connection, choose the model, and what to do when the model is retired or the provider rejects the key.

Mosce AI is the Mosce ERP assistant: it answers questions about your company's data. It does not come with an AI provider included: you connect your own account with Anthropic, OpenAI or Gemini, paste its API key and choose the model. This article explains that setup, which is done once per company. To learn how it is used, see Asking Mosce AI.

Reading time: ~5 min

When to use this

  • You want your team to be able to use Mosce AI and it is not set up yet.
  • You want to change provider, paste a new key or choose another model.
  • Mosce AI stopped answering and you suspect the key, the balance of your account with the provider, or the model.
  • A notice appeared saying the model is going to be retired.

Before you start

  • You need the assistant:configure permission. The Owner and the Administrator role have it out of the box. See Users, roles, and permissions.
  • The Mosce AI module has to be active in your company. It is on by default and available on every plan, including Free. If it is off, the integrations screen tells you with the notice The Mosce AI module is turned off for your company. Turn it on in Settings > Modules to configure it. See Modules.
  • An account of your own with one of the three providers and an API key created in it.

Your company pays for the usage, to your provider. Mosce ERP does not charge for the assistant or include it in your plan: each question consumes whatever your provider charges for it, on your account with them. If that account runs out of balance, Mosce AI stops answering until you top it up.

Step by step: set up Mosce AI

  1. Go to Settings › Integrations and open the Mosce AI tab.
  2. Under AI provider choose Anthropic, OpenAI or Gemini.
  3. Under API key paste your provider's key (the field reads Paste your provider key here). Your key is stored encrypted and is never shown in full again.
  4. Click Test connection. Mosce ERP checks the key with your provider. If everything is fine you will see Connection successful. Choose a model to save. and the list of models your account has available at that moment is loaded.
  5. Under Model choose one from the list. Until you choose one, Save stays disabled (Choose a model from the list to save.).
  6. Click Save. You will see Mosce AI settings saved.

From then on, anyone with the assistant:use permission sees the assistant button in the header.

What the screen remembers afterwards

  • Below the form you will find the result of the last test: Last test on {date}: successful. or Last test on {date}: failed., with the reason.
  • The saved key is not displayed. To keep it when you only change the model, leave the field empty (Leave the field empty to keep the saved key.).
  • The key is required the first time and every time you change provider: a key from one provider does not work with another.

Notices about the model

Providers retire old models over time. Mosce ERP checks your model and tells you:

NoticeWhat it meansWhat to do
The model is being retiredYour provider announced a retirement date (The model {model} will be retired on {date}. Choose another one before then.). In the list, that model appears as Deprecated, retires on {date}.Choose another model and save before that date.
The model was replacedAnthropic only: when a model is retired, Mosce ERP switches you on its own to the most recent successor of the same family ({model} was retired and we switched you to {successor} on {date}.). It is recorded in the audit log as Assistant model replaced.Nothing. If you prefer another one, choose it and save.
The model is no longer availableWith OpenAI and Gemini Mosce ERP never changes the model for you: if yours disappears, you have to choose another. In the list it appears as Retired.Choose another model from the list and save.

People allowed to configure it also receive an on-screen notification with the Open settings button.

When the test fails

The screen explains the cause in plain words:

MessageWhat to do
The provider did not accept the key. Check that you copied it completely and that it has not been revoked, or generate a new one.Copy the key again from your account with the provider, or create a new one.
The key is valid but is not allowed to use this service.Check the key's permissions in your account with the provider.
Your provider account has no balance or reached its spending limit.Top up the balance or raise the spending limit with the provider.
Your provider account used up its quota.Check your plan with the provider or wait for it to renew.
The provider is receiving too many requests from your account.Wait a moment and try again.
The provider is not responding right now.Try again in a few minutes.
That model is no longer available in your account.Test the connection again and choose another model from the list.
The request is too large for this model.Choose a model with more capacity.

If your provider rejects the key that was already saved (because it is invalid or you revoked it), the notice Mosce AI needs to be set up again appears: paste a new key, test the connection and save. In the meantime, people using the assistant see The AI provider did not accept the configured key. and are asked to tell an administrator.

Expected result

  • The Mosce AI tab shows the last test as successful and the chosen model.
  • The assistant button appears in the header of people who have the assistant:use permission.
  • A change of provider, key or model applies to the whole company and takes effect on the next question anyone asks.

Common mistakes

  • I don't see the Mosce AI tab in Integrations. You are missing the assistant:configure permission, or the Mosce AI module is off in Settings › Modules.
  • I can't click Save. A model has not been chosen, or the key has not been pasted (first time or change of provider). Test the connection to load the model list.
  • The team sees that the provider account has no balance. Usage is charged to your account with the provider: top up the balance or raise the spending limit there, and test the connection again.
  • I changed provider and the assistant stopped answering. Each provider needs its own key and its own model: paste the new provider's key, test and save.
